Know how the move will work before you begin

Scope based on your situation

Tell us your current software, company type and accountant. We’ll establish what data is available and what the new workspace needs.

An agreed start date

Choose a date based on the state of your books and upcoming tasks. Agree where unfinished periods will be completed.

Review before continuing

Compare agreed opening balances and open items with the source material. Assign responsibilities and review the first month.

Planning your move

From your current setup to the first shared month

You can change software and keep your accountant. If you also change accountants, agree on the service responsibilities separately.

  1. Review your starting point

Identify your system, latest completed accounting period and specific business needs. Check export formats and current contract arrangements.

  2. Agree on scope and timing

Define the data, start date and archive remaining in the old system. Agree on transfer work, any costs and the people responsible.

  3. Prepare and check

Prepare data in the agreed format. Check balances and open items against source reports; arrange bank connections and user access.

  4. Start from the agreed date

Handle new transactions in tulos.ai according to the agreed responsibilities. Review transfer questions as part of the first month’s checks.

Getting started

Use this as a preparation checklist. The documents and delivery method will be confirmed for your business and current system.

System name, accountant’s contact details and who can export the data.

  • Completed books and balances

Latest completed period, profit and loss, balance sheet and balance details at the agreed cut-off.

  • Open sales and purchase invoices

Unpaid invoices and their payment status at the cut-off.

  • Documents and previous archive

Document availability, export formats and a plan for retaining earlier material.

  • Bank and invoicing details

Active accounts, bank connection authorisations and current e-invoicing arrangements.

  • Unfinished tasks

Outstanding filings, missing documents and other tasks that need an assigned owner.

Agree on exports, archive access and unfinished tasks before cancelling your current service.

Give every transfer task an owner

You describe your needs

Confirm contacts, the new way of working, access rights and authorisations.

Your current accountant prepares

The agreed source material, completed periods and reports. Record the tasks remaining in the old service together.

Agree on the new responsibilities

tulos.ai onboarding support and your accountant agree with you on preparation, balance checks and the first month’s tasks.

Your way of working

Choose software or a bookkeeping service

Use the software yourself, work with your existing accountant or agree on a separate bookkeeping service.

Software and bookkeeping services are separate offerings. An accountant’s work is agreed separately. The bookkeeping service includes software access; third-party costs are charged separately based on usage.

Frequently asked questions

Do I need to change accountants too?

No. You can use tulos.ai with your existing accountant. Agree on onboarding, access and responsibilities together. If you also want a new bookkeeping service, its scope and price are agreed separately.

Can I switch during the financial year?

Yes. You can also switch during the financial year at the end of a month. A financial year boundary can be convenient, but the start date is agreed with your accountant based on the state of your books and the data to transfer.

Will all historical data transfer automatically?

The scope depends on the source system and available export formats. Agree on what enters the new workspace and how old material remains accessible before starting. Automatic transfer of all history should not be assumed.

What does switching cost and how long does it take?

The work depends on data volume, format, the state of your books and the agreed scope. Onboarding support, any costs and timing are agreed after an assessment, before work begins.
